Japanese Bilingual Client Services Administrator – Financial Services

An International Financial Institution organization is seeking a Japanese Bilingual Client Services Administrator to support Japanese institutional clients, primarily financial institutions.

This position serves as a key point of contact for clients regarding day-to-day operational matters and works closely with internal departments and an affiliated office in Tokyo. The role involves responding to client inquiries, coordinating solutions, and supporting service improvements based on client needs.

Key Responsibilities

  • Serve as a primary contact for Japanese clients, primarily Japanese financial institutions, regarding day-to-day operational inquiries.
  • Communicate with clients and the affiliated Tokyo office primarily by email, with occasional telephone communication.
  • Respond proactively and professionally to client inquiries and ensure timely resolution of issues.
  • Understand client needs and coordinate appropriate solutions with internal departments.
  • Identify potential operational or service issues and communicate them to clients and management in a timely manner.
  • Work closely with internal teams to resolve client issues and maintain a high level of service.
  • Maintain accurate records of client communications, approval forms, and other required documentation.
  • Participate in extended-hours coverage 2–3 times per month to respond to inquiries during Japanese business hours.
  • Support service enhancement initiatives based on client needs and feedback.
  • Perform other duties as assigned to support departmental and business needs.

Qualifications

  • Business-level Japanese language proficiency required, including the ability to communicate professionally with Japanese clients and colleagues.
  • English communication skills sufficient for effective interaction with internal teams.
  • Previous experience in client service, customer service, operations, or administrative support.
  • Experience in a financial institution or financial services environment preferred, but not required.
  • Strong communication, interpersonal, organizational, and problem-solving skills.
  • Ability to coordinate effectively across departments and manage multiple client requests.
  • Proficiency in Microsoft Word, Excel, and PowerPoint in Japanese and English.
  • Bachelor’s degree in Business or a related field preferred.
