An international financial firm seeks a highly organized and detail-oriented Corporate Coordinator to support executive visits from Japan and provide administrative support to the Corporate team and related functions.
This role focuses on coordinating executive travel, preparing detailed itineraries, managing schedules, and supporting meetings and corporate events. The position requires strong organizational skills, attention to detail, and the ability to work effectively in a cross-border environment.
Responsibilities
Executive & Travel Coordination
- Prepare detailed itineraries for visiting executives from Japan based on internal guidance
- Coordinate travel arrangements including transportation, accommodations, and reservations
- Manage and update executive schedules to ensure accuracy and efficiency
- Serve as liaison with travel agencies and internal stakeholders
Meeting & Event Coordination
- Coordinate meetings, office visits, and related logistics for executive visits
- Support planning and execution of corporate events
- Assist in organizing Board meetings, Shareholder meetings, and annual off-site meetings
- Prepare meeting materials, agendas, and minutes
Administrative Support
- Process invoices, track expenses, and maintain related documentation
- Provide general administrative support including document preparation and data entry
- Coordinate internal meetings and calendar scheduling
- Support Corporate team operations and assist other teams as needed
- Provide backup support for administrative staff when required
Qualifications
- 5+ years of experience in executive support, corporate coordination, or administrative roles
- Business-level proficiency in both Japanese and English (required)
- Experience coordinating executive travel, schedules, and meetings
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Experience in a corporate environment, preferably within a Japanese company or global organization
Work Arrangement
Hybrid schedule. In-office attendance may be required depending on business needs.
