Contracts & Operations Manager — Equipment Finance

A financial firm specialized in Equipment Finance is seeking an Contracts & Operations Manager who will lead the end-to-end post-approval flow—contract generation/QC, stip & funding, and booking/boarding—while building scalable processes, controls, and metrics. You’ll collaborate with Sales, Credit, Accounting, and Portfolio/Servicing to reduce cycle times, improve first-pass yield, and keep audits squeaky-clean.

Responsibilities:

Contracts (Docs)

  • Own document generation and quality control for loans/leases: terms, schedules, guarantees, UCC language, titling, state addenda, and equipment descriptions/serials (Hitachi & related brands).
  • Manage e-signature workflows (e.g., DocuSign), KYC/OFAC checks, beneficial ownership, and identity verification.
  • Collect and validate insurance (ACORD), proof of entity, financials, delivery & acceptance (D&A), and any special conditions.
  • Maintain playbooks/templates; ensure policy and regulatory compliance.

Funding

  • Run pre-funding audits: stip completeness, fraud red flags, invoice/PO match, wire/ACH verification (dual control).
  • Coordinate UCC-1 filing (and titling where applicable); track lien perfection and trailing docs (e.g., MSO/title).
  • Authorize and release vendor/dealer funding; communicate status to Sales and partners; resolve exceptions quickly.

Booking / Boarding

  • Board transactions to LOS/LMS; set amortization, taxes, fees, residuals, and billing cycles accurately.
  • Reconcile to GL; partner with Accounting on month-end close, revenue recognition, and suspense clearing.
  • Ensure accurate setup for servicing (collections, end-of-term options, buyouts, equipment locations).

Operations Management & Analytics

  • Build SOPs, SLAs, and controls; drive continuous improvement (Lean/Kaizen mindset).
  • Own dashboards and metrics (cycle time from docs-out to funded, first-pass yield, exception rate, booking accuracy).
  • Lead/mentor a small team (analysts/specialists); coach for quality, speed, and cross-training coverage.
  • Manage vendors (titling/UCC service providers, insurance tracking) and support internal/external audits.

Qualifications: 

  • 5–8+ years in equipment finance or secured lending operations covering contracts, funding, and booking; 2+ years in a lead or manager capacity.
  • Deep familiarity with UCC filings, lien perfection, guarantees, titling/DMV nuances, and construction equipment documentation.
  • Strong analytical skills: Excel (pivots/lookups; ideally Power Query), Power BI, reporting; SQL/BI a plus.
  • Experience with LOS/servicing systems (e.g., Odessa/InfoLease/Solifi/LeaseWave) and CRM (Microsoft Dynamics).
  • Meticulous attention to detail; proven ability to design controls and pass audits.
  • Excellent communicator who can partner across Sales, Credit, Accounting, and external vendors.
  • Ability to manage multiple priorities and work under tight deadlines.

Nice-to-Haves

  • Exposure to construction equipment collateral valuation (age/hours/condition, resale dynamics).
  • Process improvement credentials (Lean/Six Sigma, PMP) or experience standing up dashboards (Power BI/Looker).
  • Prior OEM/dealer program operations experience (Hitachi or comparable heavy equipment brands).
