BL Japanese Administration and Customer Service Associate

International Company is seeking an Administration and Customer Service Associate with Japanese language skill.

General Administration Support

  • Manage communications addressed to the Company
  • Manage, maintain and replenish office supplies and equipment
  • Manage internal documents
  • Act as a corporate benefit administrator for various benefits including health insurance and 401K that the company provides to its employees. The task include enrollment, cancellation, preparation for audit and renewal.
  • Focal point to various vendors/service providers such as Lease Car, Insurance, IT/System
  • Maintain, monitor and edit company website
  • Support senior manager and arrange logistics/schedule for visitors from Headquarters and affiliated companies
  • Visitor related operations

Customer Service Support

  • Process orders received from customers in a timely manner
  • Issue Sales/Purchase Orders to suppliers upon instruction by General Manager and issue invoices
  • Prepare necessary shipping documents and inform customers of the shipping status
  • Prepare and ship small orders that cannot be handled by warehouses
  • Communicate with vendors and customers for import/export documents such as ISF and custom clearance.
  • Issue invoices to customers in a timely manner and monitor payment status
  • Make sure all transactions of the month are posted by
  • Check inventory counts at warehouse against our record and fix any discrepancy
  • Prepare and ship samples upon request by sales team


  • 2 or more years’ experience in related area
  • Bachelors’ degree
  • High organizational skills with the ability to multi-task
  • Process oriented with the ability to prioritize and manage to timelines
  • Well versed in Microsoft Office Suite software, ERP(preferably Microsoft Dynamics NAV) and advanced skills with Excel and Outlook
  • Customer Relations Management and Trading Business experience
  • Basic knowledge of INCO TERMS for import/export shipment
  • Basic knowledge of Purchasing/Sales process of products
  • Must have teamwork mentality to cover each other while being absent within the whole CSR team
