Office Manager – Shared Office Space

Overview:
International Firm is seeking an energetic and service-oriented Office Manager to oversee daily operations at the modern shared office space in Downtown San Francisco. This role combines hospitality, operations, and community-building, creating a welcoming environment for a diverse range of professionals, entrepreneurs, and small teams. The ideal candidate is a proactive problem-solver with excellent interpersonal skills and an interest in Japanese language or culture.

Key Responsibilities:

  • Oversee the day-to-day operations of the office, ensuring cleanliness, functionality, and efficiency in all workspaces and common areas

  • Provide exceptional front-desk and concierge-style service to tenants, guests, and visitors

  • Coordinate facility maintenance, vendor services, and office supply inventory

  • Plan and support community events, networking sessions, and client engagement activities

  • Manage meeting room bookings, incoming/outgoing mail, and building access

  • Assist with onboarding new tenants and ensuring smooth transitions

  • Serve as liaison between tenants and building management/ownership

  • Support basic billing, invoicing, and reporting functions in collaboration with the accounting team

  • Promote a friendly and collaborative atmosphere among members

Qualifications:

  • 2+ years of experience in office administration, hospitality, coworking, or related roles

  • Excellent communication and organizational skills

  • Strong customer service mindset and ability to manage multiple priorities

  • Tech-savvy with basic proficiency in tools like MS Office, Google Workspace, or coworking management platforms

  • Interest in Japanese language or culture is a strong plus; basic Japanese ability is a bonus

  • Friendly, resourceful, and enthusiastic team player
