An Internatinoal Firm is seeking a Payroll Assistant/Staff Accountant with Japanese language skill who is responsible for supporting accounting team with day-to-day duties, assisting payroll team with US/global payroll processing, and coordinating daily operations of group benefit programs.
Essential Duties/Function:
- Conduct reconciliations on AMEX transactions using the Concur system and provide required reports to team in a timely manner; collect receipts through the system, review submitted requests according to our policy, identify/correct errors through collaboration with the team, follow up with relevant parties as needed and meet deadlines.
- Prepare documented manual updates for Concur system. Provide instructions to users and reviewers on how to use the system in accordance with the manual.
- Assist with backup preparations such as AP, GL, bank reconciliation, etc. on as needed.
- Review and verify invoices and check requests; research all vendor and employee inquiries regarding discrepancies, policies, procedures, and other issues and report to the team.
- Collect, store and organize documentation and prepare back-up files for submission.
- Create/update vendor ID and customer ID information in systems. Maintain up-to-date W9 information and assist with 1099 issuance and delivery. Assist with creating invoices and preparing wire templates.
- Send materials for internal approval to appropriate parties and maintain approved documents.
- Prepare payroll calculations and processing for local and expatriate employees; coordinate information to ensure all related payments, deductions, and/or changes are properly captured. Prepare GL entries.
- Assist individual tax filings for expatriate staff with payroll manager; collect required information, process and track tax payments.
- Support expatriates/overseas support teams/vendors regarding Global Mobility payroll.
- Assist in the preparation for annual Open Enrollment and ensure all enrollment elections are properly processed in a timely manner. Conduct benefit orientations for on/off boarding expatriate staff.
- Assist Human Resources in the coordination and implementation of benefits programs. Update benefit and payroll systems to ensure all related payments, deductions, and/or changes are properly captured. Complete all related transactions and calculate accruals for employee benefits.
- Assist payroll manager with employee inquiries regarding payroll, accounting and benefits matters, administer and track leaves of absence, and update ADP System with employee time off requests.
- Support payroll manager with plan vendors, affiliate and third-party administrators; coordinate transfer of data to external contacts for services, premiums, and plan administration; document and maintain administrative procedures for assigned benefit processes.
- Assist benefit audit activities and records to ensure they are updated.
- Translation support for documents and emails exchanged in Japanese
- Evaluate and document procedures to improve efficiency and suggest improvements
Experience/Qualifications:
- Associate’s and/or Bachelor’s Degree in Accounting, Finance, Human Resources, Business or related field required.
- 2 + years’ experience in accounting and payroll.
- Understanding of global payroll (Gross-up) and accounting (AP, GL entry and bank reconciliation) is a plus.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) is required. Working knowledge of ADP, MS Dynamics and Concur is preferred.
- Business level proficiency in English and Japanese is required.
- Excellent communication and interpersonal skills; ability to compose correspondence.
- Highly organized with strong attention to details. The ability to adapt to change in a business environment is also critical.
- Ability to report on-site to NYC office from Monday to Thursday
