Bilingual Japanese Executive Assistant / Administrative Coordinator

International Firm is seeking a BL Japanese individual who can provide administrative support to senior executives and department staff, including scheduling, travel arrangements, report preparation, phone coverage, data entry, and document circulation. Coordinate meetings and events, maintain records, and assist with departmental projects. Offer back-up support to other staff as needed.

Key Responsibilities:

  • Arrange and coordinate business functions, including meetings, conferences, and VIP visits.

  • Manage business travel, including approvals, bookings, and expense reporting.

  • Track and circulate reports for approval.

  • Deliver high-quality internal and external customer service.

  • Prioritize and manage multiple tasks in a dynamic, deadline-driven environment.

  • Provide administrative support across the department, including to senior assistants and analysts.

  • Support departmental projects and perform ad hoc duties as assigned.

Qualifications:

  • Bilingual (English and Japanese) with strong verbal and written communication skills.

  • 3+yrs experience in executive support.
  • Highly organized with the ability to prioritize, multitask, and meet deadlines.

  • Strong interpersonal skills and commitment to customer service.

  • Able to work independently and collaboratively with discretion and professionalism.

  • Proficient in MS Office (Word, Excel, PowerPoint) and quick to learn internal systems.

  • Willingness to work flexible hours based on workflow needs.
